Filing a violation
Pick the property, pick a category, describe what you saw, and attach the photo you just took. Every violation gets a number (VIO-1, VIO-2 and so on) so a specific notice can be cited later.
The residents of that property are emailed automatically. There is no separate "send notice" step — filing the record is the notice.
Categories
Set these up to match your covenants before you start filing. Communities typically use five or six: lawn and landscaping, trash receptacles, parking, exterior maintenance, signage, other.
Discussion
Both the board and the homeowner can comment on a violation, which is where cure attempts, extensions and disputes get recorded. Keeping that conversation on the record is the point — it is what protects the board if the same notice is questioned two years later.
Resolving
When the issue is fixed, mark the violation Resolved. It moves out of your open list but stays on the property's history permanently.
Fines are not built. HOA Grove records the violation, its evidence, the discussion and its resolution. If your covenants allow fines, your board assesses them under its existing process.
