How invoicing works

Payment periods, invoice statuses, and reconciling at the end of a period.

Payment periods

A payment period is one billing cycle — a month, a quarter or a year, depending on your frequency. On the generation day, every property with a resident gets an invoice for that period and the homeowner is emailed.

What the statuses mean

  • Unpaid — issued, not yet paid, not yet past the due date.
  • Processing — a bank transfer (ACH) is in flight. These take a few business days to settle; the money is coming.
  • Paid — settled, either online or marked paid by an admin.
  • Past due — unpaid after the due date.
  • Failed — the payment was declined or the bank returned it. The invoice stays open so it can be paid again, and the homeowner is emailed an explanation.

Payments taken outside the app

Checks still happen. Open the invoice and mark it paid, recording the amount and the date you received it. It then reads as Paid everywhere else, so your outstanding list stays accurate.

Reconciling

The dues page shows outstanding and paid counts for the selected period, and you can search by invoice number, property or owner. Export Payment Period XLS downloads the whole period as a spreadsheet for your bookkeeper or your annual meeting packet.

HOA Grove is not accounting software. It invoices, collects and records dues, and exports a period. It is not a general ledger — communities that need double-entry books keep using them alongside.
