Inviting residents
Invite links, individual invitations, and why there are no passwords.
How residents sign in
HOA Grove has no resident passwords. A member enters the email address the community knows them by, and we email them a single-use link that signs them in. There is nothing for a homeowner to forget and nothing for a board member to reset.
This is also why the email address on a member's record matters: it is the only way in. If someone is not receiving sign-in links, check the address on their member record first, then their spam folder.
The community invite link
The fastest way to onboard a whole neighborhood. Copy the invite link from Members and put it wherever your residents already look — a newsletter, an email blast, a flyer on the mailboxes, the community Facebook group. Anyone with the link can join your community and attach themselves to their property.
Invite links expire after one month, and you can invalidate one at any time and generate a fresh one. Do that if a link ends up somewhere public that you did not intend.
Inviting individuals
You can also add a member directly and invite them by email — useful for a single new owner after a sale, rather than re-sharing a link with the whole community.
Roles
Every member has one role, which decides what they can see and do:
- Member — a resident. Sees the community site, their own dues, their own requests and violations, documents, the calendar and the directory.
- Manager — a board member. Can run violations, architectural requests, work orders, vendors, documents, posts and events.
- Admin — everything a manager can do, plus dues, payment settings and the community's own billing. Your treasurer and president usually want this.
- ARC — for architectural committee members who are not otherwise on the board.
- Violation committee — the same idea, for violations.
Dues pages need Admin. If a board member reports that they cannot see dues or invoices, their role is almost certainly Manager rather than Admin.
