Organizing the library, and keeping board-only files private.
Categories
Documents are filed into categories you define. Most communities want something like: governing documents, meeting minutes, financials, forms, architectural guidelines. Filing minutes and budgets by year works well once you have a few.
Board-only documents
A document can be marked management only, which keeps it visible to the board and hidden from residents. Use it for anything not yet approved, legal correspondence or draft budgets. Everything else should be visible — the whole point is that residents stop asking.
What to upload first
- Covenants and bylaws.
- Architectural guidelines and the approved color palette.
- The current budget, and the most recent reserve study if you have one.
- Board meeting minutes.
- Pool and amenity rules, and any rental agreements.
- The forms residents ask for.
That set answers most resale requests, which means the next time an agent asks for a packet you send a link instead of spending an evening digging.
