Email Broadcasts
The email blast, minus the mail merge
Write once, send to the whole community or just the homes you mean, and get a record of who actually received it. Personalised with each homeowner’s name, address and balance, without you touching a spreadsheet.

Send to exactly who you mean
Every owner in the community, a set of specific units, named individuals, or a combination. Preview the recipient list before anything goes out, so you can see who is about to be emailed rather than hope.
Personalised without a mail merge
Drop in a homeowner’s first name, their unit address, their balance or their oldest unpaid due date, and every message arrives filled in. One draft, two hundred personal emails.
Attach the documents
Upload a file, or link a document already in your library so you are not maintaining two copies of the same notice.
Proof of who received it
Every send keeps a per-recipient record: delivered, opened, bounced or failed. When someone insists they were never told about the special assessment, you have an answer.
Dues reminders that name the number
The merge fields include each property’s balance, past-due amount and oldest unpaid date. That turns the quarterly “assessments are due” email — the one everyone skims — into a message that says what this household owes and since when. Boards report that being specific is what actually moves a delinquency list.
- Amount due, past due amount and oldest due date, per property
- Name, unit address, mailing address and owner names
- Community name, city, state and today’s date
- Write the draft once; every recipient gets their own figures

Notices and announcements are not the same thing
A block party invitation should carry an unsubscribe link. A notice your covenants require you to serve should not — and a homeowner should not be able to opt out of being told about a special assessment. Mark a message as an official notice and it goes out without one; everything else is unsubscribable, which is both the law for marketing email and simple manners.
- Ordinary announcements carry an unsubscribe link
- Official notices go to every resident regardless
- Replies go to the address you choose, not into a void
- Cancel a send that is still in flight if you spot a mistake
Common questions
Something not covered here? Email support@hoagrove.com and a person will answer.
Who can send a broadcast?
Admins and managers — the same people who run violations and dues. ARC and violation-committee members cannot, and neither can residents.
Can I reuse a message I send every year?
Yes. Save any message as a template — the annual meeting notice, the pool opening, the dues reminder — and start from it next time.
What if I make a mistake mid-send?
A send that is queued or still going out can be cancelled. Once a message has reached someone it cannot be recalled, which is true of email generally.
Does it do text messages?
No. Broadcasts are email. Text and voice are not part of the product.
